Job Description:

Overview The Program Assistant will manage projects that are critical to the support of the office and foundation and will also provide gift-making support to program staff. The Program Assistant will facilitate administrative operations with online filings, external communications, meeting and event calendars, and program due diligence. The ideal candidate will have a willingness to learn about the foundation's program areas. While the position's primary duties are program support, a portion of the candidate's time will be administrative work as well. The position is based in our Jupiter, FL office. Position Responsibilities Program Management (60% of the time) ---Assist Program Director in the gift-making process, including pre-program due diligence and research, financial analysis, review write-up, award payment, and follow-up reporting; ---Use the foundation's award tracking database to analyze information on historical giving;---Take minutes during team and initiative meetings;---Act as representative of the foundation to programs and external partners;---Assist with other special projects, e.g., Climate Correction ------Support Program Director as needed.
Administrative Support (40% of the time) ---Handle day-to-day operations, mailing, and shipping, and ordering/maintaining office supplies for all office team members;---Serve as primary phone and reception contact for the office;---Draft, edit and proof responses to letters of inquiry, agendas, presentations, and other documents; ---Coordinate and maintain office conference rooms scheduling;---Assist with scheduling office meetings, events or luncheon coordination, logistics, and material preparation; Qualifications and ExperienceThe position calls for a highly organized, flexible, and resourceful individual with excellent phone etiquette and verbal communication skills. The foundation seeks to recruit an individual with excellent interpersonal skills, a respectful attitude for the work of the foundation and our award recipients, and a demonstrated ability to work effectively as part of a team. The Office Manager should ideally possess the following professional qualifications and personal attributes:---Bachelor's degree required;---Minimum of 3 years work experience, preferably in an administrative or operations role in an office environment requiring interaction with both internal and external partners;---A passionate commitment to the goals of the VoLo Foundation's program areas;---A willingness to proactively seek ways to support the VoLo Office;---Excellent written and oral communication skills; ---Excellent organizational skills, attention to detail, problem solver with a demonstrated capacity to meet deadlines and a commitment to customer service; ---Strong technical skills', including knowledge of Microsoft Word, Excel, Outlook, and Dropbox- knowledge of Award Force database is a plus.---Spanish speaker/bilingual preferred.
